Tips for using the events calendar

Are you familiar with our events calendar, Tapahtumataulukko? MiB’s joint events calendar is a key tool for our event organising and internal communications. It allows us to collect the information for the event invitations sent to all MiB members.

Some do’s and don’ts for using the calendar - let’s keep the calendar nice for everyone to use:

  • Please note that all the changes you make on the events calendar are visible to everyone using the document. Make sure don’t write over someone else's event or delete any rows.

  • Create a new event on a new row. A new row can be added by clicking add a row or you can use one of the empty rows (towards the end of the table). 

  • When you use filtering, make sure you choose the option of showing the results of the filtering only to you, not to everyone. 

  • Please make sure you fill in all the required information carefully.

  • Only the events that are marked Valmis/Ready or Valmis/ Ready: invitation to mingle, will be promoted to MiB members. Every event that is marked Valmis/Ready should have a registration link (if needed), and the description of the event already added to the Event descriptions document.

Reminders for event organizing

Registering of participants

In order to keep track of event registrations and participants, and for doing follow-up communications, please use Lyyti App in live events to register participants who are present. For online events, Lyyti automatically marks the arrivals, but for live events, the organiser marks them by themselves. The link to the Lyyti App can be obtained from your event's Lyyti-officer. 

  • Lyyti's mobile application, Lyyti App, is free to use and can be found by searching "Lyyti" in the App Store and in Google Play store. Read more about the app from event organising ABC.

For mingles that do not require registration, a logbook entry and an entry of the number of participants in the event table is sufficient.


Event organiser: give some time for event communication

Give your event time and get it ready well in advance in the event table and have the invitation text ready to be written and waiting for the Lyyti-officer. 3-4 weeks would be a great time! Often events are added to the event list or opened on Lyyti with very short deadlines, which affects communications and the ability to register. 


Lyyti-officers: Put event invitations available in Lyyti

Please put the event in Lyyti as soon as possible and prepare the invitation message for live and hybrid events ready and available, so that the employee can go and send the invitations easily. It would be a good idea to have the invitation sent out at least 2-3 weeks before the event.


Writing exciting invitation messages

To get lots of enthusiastic registrations for events, grab our tips for writing an attractive invitation text here: 

  • An event invitation title will entice people to click open the invitation and create expectations of what they will get out of the event. The invitation title can be different from the event title, the key is to entice the person to open the invitation.

  • The descriptive text will get the reader excited about the event. You can write a descriptive text using the following prompts:

    • Why is this event relevant?

    • Why is this event important?

    • What questions does the event answer?

    • What will the participant take away from the event?

    • What can the participant get out of the event?

  • Please enter the name and abbreviation of the association correctly:

    • Mothers in Business MiB ry, Mothers in Business (MiB), MiB ry

    • MiB, MiBin, MiBille; MiBs 

    • Note: not MIB, MIB's, for MIB, MiBs

  • No date or time shall be entered in the title of the event or message. 

  • No need to include the name, time and place of the event in the description, as they are automatically generated by Lyyti

  • Make links appear as text, e.g. www.mothersinbusiness.fi → MiB website

  • This template can be used to create an invitation. 


Get started with a mingle!

Mingles are informal peer-to-peer meetings. Any of our members or activists can invite a mingle together, for example in a local Facebook group. This is an opportunity to post often and to encourage and support members to organize mingles too.

Mingle can be organised both for members and as an open event. Open Mingle is particularly used as an introduction to MiB's activities, so a Welcome Mingle or Volunteering Mingle should be organised from time to time to inform about MiB's activities and to attract new members and activists.

Mingle can be organised in the same way as any other event, but even easier and more efficiently! Mingles don't need to be done in Lyyti, they can be made into a FB event in the local chapter group and promoted on other possible local channels. This is where the Mingle Guide for members comes in handy!

It is worthwhile for the active member to register a mingle in the MiB events table. If you wish, you can also list the mingle, which will also open it in the web events calendar. Mingle events can also be sent out as an invitation to an event, if required.

A live mingle in the MiB events table, which has been created in Lyyti, can also be sent to members of the local section as an invitation as required. If you would like an email invitation to be sent out for your single, please tick Yes in the event table under Mingle. (column Y). The Lyyti manager will complete the invitation and send it to the employee. The online mingle will be added to the webinars summary invitation letter.
